The problem

Advising is a relationship business, and relationships generate records: who reached out, what they need, which advisor is working with them, what happened next. When those details live in scattered notes and spreadsheets, cases slip, records disagree, and reporting to partners becomes a manual scramble.

The solution

I designed and customized a HubSpot CRM tailored to advising workflows. Rather than adopting the default sales pipeline, I mapped the actual journey of a client through the program, then built the stages, properties, and views around it.

Pipeline built around the client journey

Stages from first inquiry through intake, advising, follow-up, and outcome, so every case has a clear status and owner.

Structured, required properties

Custom fields for business stage, industry, service requested, funding need, and referral partner — captured the same way every time.

Views for the daily workflow

Filtered views that show each advisor their active cases, upcoming follow-ups, and anything that has gone quiet.

Reporting built in

Because the data is structured at entry, summaries for partner communications and grant reporting come from the CRM rather than from rebuilt spreadsheets.

Outcomes

  • Improved record accuracy. Required, standardized fields replaced free-form notes for the information that matters most.
  • Better case-tracking efficiency. Advisors can see status, next step, and history for any client in one place.
  • Reporting-ready data. Program activity can be summarized quickly and consistently.
  • Confidentiality by design. Access and data handling were set up with privacy and compliance in mind.

What I learned

A CRM is only as good as the habits it makes easy. The best configuration choices were the ones that removed a step for the advisor, because data that is easy to enter is data that gets entered — and clean data is what makes every report downstream trustworthy.
